Hello,

We are looking for a solution to replace our current intranet (SharePoint...)

We have three points:

CMS
Form and workflow validation
DMS / EDM => Document Management System, Electronic Document Management

TYPO3 fills in the first two points, we can make forms and develop them.

On the other hand for the DMS part, we found no extension or other.

Are there DMS solutions with TYPO3?

Thank you

what are the main points the DMS should be able to deal with?

Hello,

DMS Festures:

- Create new document and validation wokrflow
- Classify in a category
- Document create in Word format and publish in PDF format
- Unique document identification according to our quality rules
- Search engine
- A personalised welcome page DMS according to the user's group
- DMS for 3-4000 documents

If no extension, is there a web agency, a company that can develop this kind of extension?

Or use Alfeso or other style and TYPO3 related?

Thanks

summarized:

- validation workflow <- typo3 standard
- create Word format? - create document like in word? or would you like upload a word file? (format to pdf needs extension)
- category <- typo3 standard
- unique document identification? like a additional category?
- search engine <- how is this supposed to work and what must it be able to do? (simple search <- typo3 standard)
- Frontend Login... startpage after login per group <- typo3 standard

So the big 2 questions:
- point 2 "create Word format"
- can only backend users create documents? or frontend users too?

Hi,

for your specification there is only one answer: Sharepoint.

You know that you (or your client) gets Sharepoint Online and a whoppy 1 TB of storage included with your Office subscription? Better to integrate that somehow into your Site (via SSO) than to invent the wheel once again. Downside: each user has to have an Office licence.

I know of no other readily available product that handles creation, editing, securing, sharing and workflow handling of Office documents equally well.

Just my 5 cents

Cheers

Hello

Upload Word file and publish in PDF format, but it's possible to edit Word file for new document version and re publish in pdf.
Search engin for document, search by multiple filters, tag, etc.
unique document identification => This the name of document, auto genration in relation to its category, etc., ex: 40-110-001

@Mark: We have SharePoint today...this solution no longer suits us.

validation workflow work with documents?

Thanks

Hi So Chat,

what you are searching for (editing Word files, publish in PDF file, workflow for creation, editing, versioning, approval of files) is possible with other solutions, but (and this is a big BUT) they don’t deliver the same fidelity and click-and-use experience for MS Office documents than the one from the same vendor: Microsoft. They certainly don’t exist for TYPO3 as an installable extension. Validation workflow indeed does not include documents in TYPO3, just web content.

We offered such a system for a client of us, complete with integration of several offices all over the world (don’t know if you need this). We planned decentralized team sites and a uniform search experience for all teams. We started with planning a TYPO3-only solution integrating WebDAV for file share access for team documents. There were too many obstacles for adoption, starting with acceptance at the client’s side: Editors were not happy with leaving Word just to download/check out, edit, upload/check-in a new version of a document. Sharepoint comes with an integrated solution including browsing for online documents you have access to right within the application. There are other commercial solutions that can provide a similar interface for their DMS.

The client finally went for SharePoint on Premise (he didn’t trust the cloud for his private documents).

If your client can live with the limitations I mentioned above we should talk in PM.

Cheers,
Mark

For the DMS part you could use LogicalDOC.

We offer our availability to develop an integration between TYPO3 and LogicalDOC so your users will continue to benefit all the features of TYPO3 while the documents are handled by LogicalDOC.

Please look at the API extents.
You can imagine that with an integration plugin installed in TYPO3 you can interact with LogicalDOC under the covers and without the users being aware of the existence of the external document management system.

With the API you can do: CRUD operations on documents and folders, Fult-text and Parametric searches, trigger workflows and much more.
